The emergence of hybrid events, a mixture of physical and digital

Following the lockdown end, can we say that the event industry will never be the same again? Despite the multiplication of tools and the rise of digital technology, these means have recently been little used in the event industry. The global health crisis has reversed this trend. With the lockdown, we have seen the advent of virtual events. Conferences, trade shows, congresses, meetings, the actors of the event industry have tried to digitalize all types of events. It proved to be more judicious to digitalize, than to cancel or postpone, as far as possible.

The human, the irreplaceable component of the event

Faced with the rise of digital, we might believe that the virtual event would be able to replace the physical event. However, the physical encounter is and will remain the essence of an event. It will be difficult to replace physical events with 100% virtual ones. A study carried out last May by the IFOP, states that 93% of French people expect to be able to participate again in physical events. It seems difficult to switch to 100% digital in the coming years. So what is the future of digital in the events sector? And what if the answer was the organization of hybrid events?

A future hybrid event

The hybrid event is both a physical and virtual event. It undeniably represents the future of the event industry. The objective of a hybrid event will be to offer both a real experience based on the physical encounter, which is the essence of an event and a digital experience while ensuring that the whole remains coherent.

Hybrid events can take different formats:

Live streaming: Real-time broadcast of an event as a video stream that participants can watch live or replay from anywhere in the world.

Satellite events: replace a large physical event with several small local connected physical events, the digital version allows for remote interaction between these multiple events.

Broadcast: is a physical event with participants on-site and remote participants who can follow the event live.

The advantages of a hybrid event

Of course, during hybrid events the audience reached is larger, due to the combination of people present on-site and those participating virtually. This is mainly due to the fact that access to the event is facilitated. This is another advantage: no more need to travel, no more time wasted in transportation, or even in booking accommodation. This means that the organizer considerably reduces the costs of his event: smaller room reservation, less need to call on other suppliers (catering, accommodation, transfers…). It also benefits from more flexibility and simplicity in its organization, an event that previously took months to prepare, can now be organized in a few weeks. Of course this is only the case when the organizer or the service provider he calls upon masters the organizational aspects of such an event, he has to be efficient both online and offline. To conclude, we could also mention the eco-responsible aspect of such an event.
